The challenge

A hotel's financial records were stored on paper, making important documents difficult and time-consuming to locate. Supplier contracts also needed timely attention before expiry, so departments could decide whether to renew or find alternative suppliers.

What was done

In 2011, Christina independently developed two practical solutions:

• She spent approximately two to three months scanning paper financial documents, organising them into PDFs and building an Excel-based indexing system to make records easier to locate.
• She developed an automated supplier contract reminder system using Excel macros connected to Microsoft Outlook. It emailed department secretaries 30 days before contracts expired, prompting them to review renewals or arrange replacement suppliers.

What we learned

Meaningful business improvements don't always require expensive software. Sometimes the most effective solution is making better use of the tools a business already has.
